FRONT DESK & GALLERY MANAGER

Front Desk and Gallery Manager

Reports To: Operations Executive and Executive Director
Status: Full-Time (Salary Non-Exempt)
Schedule: Monday through Friday, some nights and weekend work is required. $38,000-40,000 per year DOE

The ZACC is a nonprofit arts organization dedicated to cultivating accessible arts experiences that build community and provide a platform for creativity and connection. We provide dynamic, inclusive programming for individuals of all ages and abilities.

Position Summary
The Front Desk Gallery Manager position at ZACC is a dynamic, multifaceted position that supports the organization's daily operations including; customer relations, customer support, gallery, gift shop, paint your own pottery (PYOP), administrative support, gallery sales, and gift shop sales and inventory. This management role is instrumental in training and managing front desk support staff to maintain a welcoming environment for all who enter and participate in ZACC events and programming. This position involves connecting with individuals from diverse backgrounds and providing the best customer experience for everyone by developing and maintaining relationships with community members and visitors. This role provides opportunities to build authentic relationships with the ZACC team, visitors, patrons, families, and board members.

Key Responsibilities

Front Desk and Gallery Administration Management: Galleries, PYOP, Gift Shop.

In collaboration with the ZACC’s Leadership team, Front Desk/Gallery Manager will manage exhibition preparation and rotation, and online sales platforms for seamless and smooth gallery sales.

Gallery

· Connect with all booked exhibiting artists and complete Gallery Contracts.
· Book Exhibiting Artists Talks for the Main and BFC Galleries and collaboratewith the Education Team to book artists workshops.
· Manage and actively help with exhibition installations: hanging work, patching/painting walls for gallery turnover.
· Schedule installations and deinstallations with the Curator for gallery contracts and scheduling of gallery turnover.
· Produce label content for artwork.
· Work gallery openings and artists talks.
· Upload all exhibition artwork into Givergy, photograph works when necessary.
· Contact art buyers for art pick-up at the end of each exhibition.
· Assist with deinstallation of gallery exhibitions.
· Provide monthly gallery reports to Operation Executive and Executive Director.
· Keep the Gallery storage organized to ensure the safety of each piece while in storage and timely delivery of pieces of work to appropriate parties upon the exhibitions’ conclusion.

Gift Shop

· Maintain correspondence with Gift Shop artists and manages inventory.
· Gift Shop sales and promotions.
· Produce gift shop inventory price tags.
· Launder rags for PYOP and keep them stocked at the PYOP station.
· Assist customers with PYOP set-up, clean-up, instruction, and sales.
· Provide gift shop reports to Operations Executive.
· Manage retail sales, pottery pick-ups, and assist with general customer service.
· Attend Gift Shop Committee Meetings as the staff liaison.
· Lead merchandising efforts – rotating and changing displays to maximize sales.Paint-Your-Own Pottery (PYOP)/Clay Hand-Building
· Assist visitors with PYOP set-up and process.
· Track and restock inventory for Paint-Your-Own-Pottery (PYOP) and clay hand- building.
· Lead merchandising efforts – highlighting pottery options that relate or support upcoming events or programming.
· Keep glazes stocked and PYOP & hand-building tools clean and in working order.
· Glaze pottery, load/unload kilns, and contact customers when work is ready.
· Fire kilns when needed.
· Manage inventory of PYOP.
· Organize and clean the PYOP sink area.
· Work PYOP events.

Front Desk and Customer Service

Front Desk and Customer Care play a vital role in customer experience at ZACC. A high attention to detail and excellent customer service are necessary for representing the ZACC in this role.

· Open and set up the front desk area (lights, POS system, reader board, unlocking doors).
· On the weekends, make sure lights are on throughout the building for visitors who want to tour the building.
· Sweep/mop/vacuum the front desk, gift shop, and main gallery floors as needed.
· Keep tables and chairs clean and organized for PYOP.
· Refresh and clean gift shop & PYOP studio shelves when needed.
· Keep the front desk area organized and clean.
· Disperse mail in appropriate mailboxes.
· Process financial payments and prepare accurate nightly deposit reports.
· Answer phone calls.
· Take messages for ZACC leadership team and respond to in-person and email inquiries.
· Provide daily information about ZACC classes, events, and volunteer opportunities to visitors.
· Train and manage Front Desk, Gallery, and PYOP team and volunteers.
· Engage with ZACC patrons, instructors, artists, staff and board members providing additional information and guidance about the organization and available services as needed.

Marketing and Communications

This position assists with marketing and communications to provide timely and accurate ZACC programming and happenings to the Missoula Community and beyond.

· Manage and organize designated marketing materials at the front desk.
· Verbally shares with customers all the current and future happenings at ZACC.
· Share ways to donate to the organization.
· Reply to emails in a timely manner.
· Provide monthly reports to the Executive Director.
· Document activities in galleries, gift shop, and PYOP studios via photo & video to be used in ZACC marketing materials and/or social media platforms.

Qualifications:

· Minimum BA degree in business, or the arts.
· 2-3 years of customer relations experience and sales experience.
· Prefer 2 years’ experience working for a nonprofit organization.
· Thrives working in a fast-paced environment.
